# Assigning Staff Per Line

With per-line staff assignment on, each line in a cart can carry its own staff — separate from whoever is assigned to the order as a whole. This is how a commission knows who actually did the work, especially when two staff work one job together.

## Rates are independent, not shares of a pool

A rate you **type in** for a staff member is their **own** cut of that line, not a slice split from a shared 100%. If you leave the rate empty, their usual rate is split evenly across everyone on the line. Two staff can each earn a generous percentage of the same job without the numbers needing to add up to anything in particular. The only rule the register enforces is on the total: the rates you've **typed in by hand** for a line can't add up to more than 100% of it.

## Assign staff to a line

In the register, tap a line in the cart to open its details. For a custom item you typed in by hand, this opens the custom item sheet, which has the same **Staff** field.

Under **Staff**, tap **Add staff** and pick one or more team members.

A staff member you just added shows as **Auto · ~20%** — an estimate, marked with a `~` so you know it isn't final yet. It uses the same rate the payout will: the item's own commission rate if it has one, otherwise the person's own rate (for someone in an organization, their pay profile), otherwise the store's default, divided across everyone on the line. Someone who earns no commission shows ~0%. Tap the rate to open the rate picker. Choose **Percent** and type or slide in an exact percentage, choose **Amount per unit** and type a flat amount for each unit sold, or choose **Amount per line** and type one flat amount for the whole line. The picker shows what that comes to on this line before you confirm. Once you set one, it stops updating with the estimate and shows plainly, e.g. **28%**, **PHP 50.00 / unit** or **PHP 50.00 / line**, no `~`.

Complete the sale as normal. The cart shows a short label for the line (initials and rate, e.g. "J 28% · MR 13.50%") so you can see who's on it at a glance.

## The line meter

Below the staff list, a meter bar shows how much of the line's value has been committed to the rates set so far, measured against the store's own default rate as a reference point:

- **Green** — at or under the store's rate. The normal case, including a line where every staff member is still on auto.
- **Amber** — over the store's rate. Only possible when someone has a hand-set rate above the default — allowed, since a senior staff member's own rate can be higher than the store's.
- **Red, with "Pays more than the line"** — the rates you've typed in pay out more than the line is worth, which an amount per unit can do. This is allowed, so nothing is blocked, but you're asked to confirm when you save the line.
- **Red, and the button is dimmed** — the **percentage** rates you've typed in add up to more than 100% of the line. This blocks the sale until you lower one of them.

An auto-estimated rate never triggers red on its own — only rates you've actually typed in count toward either red state.

## Amount-type rates

A staff member's rate on a line can be a flat amount per unit instead of a percentage: pick **Amount per unit** in the rate picker, or set an amount-type rate at the store, staff or item level (see [Setting Commission Rates](/docs/store/staff-operations/setting-commission-rates)). An amount per unit is paid for each unit sold, so PHP 50.00 on a line with quantity 3 pays PHP 150.00.

**Amount per line** is the other flat choice, and you can only pick it here, on a line: it pays one sum for the whole line whatever the quantity, so PHP 50.00 on that same line pays PHP 50.00. Use it when the job is one job however many units are on it. It cannot be set as a store, staff or item default.

Either flat amount never counts toward the percentage total — it's real money owed on this line, shown on the meter, but it doesn't compete with the percentage rule. A partial refund reverses the matching share: refunding one unit of three reverses a third of the commission on that line, for both kinds.

An amount is not capped by the line's price, so a flat rate still pays on a discounted or free line. If the rates you typed pay more than the line is worth (say PHP 400.00 per unit, or PHP 400.00 per line, on a PHP 350.00 item), the meter turns red and says **Pays more than the line**, and saving the line asks you to confirm with **Save anyway**. That prompt is there to catch a mistyped amount; choose **Cancel** to go back and fix it.

## Custom items

Custom items typed in by hand (a name and a price, no catalog item) take staff too. Add them when you create the custom item, or tap the line in the cart later to change them. A custom line has no item rate, so a staff member with no rate on the line earns their own rate, or else the store's **product** commission rate. See [How Commissions Are Calculated](/docs/store/staff-operations/how-commissions-are-calculated).

## No staff on a line

If a line has no staff of its own, it falls back to whoever is assigned to the **order** as a whole. A line only needs its own staff when the people working it differ from the order's.

When your store requires staff on every line, the register won't place the order until each line has someone, custom items included. It names the line and opens it so you can add staff.

## Removing a staff member from a line

Tap the trash icon next to their row to remove them. Removing someone doesn't automatically change anyone else's rate — a hand-set rate stays exactly as typed, and any remaining auto rows re-estimate against the new headcount.

## Changing line staff on an open order

While an order is still open — **Pending**, **On hold**, **Processing**, **Ready**, or **Shipped** — you can change who is working each line from the order's own screen: open the order's actions, tap **Line staff**, pick the item, and adjust staff and rates the same way as at the register. The commission is worked out from whoever is on the line when the order is completed.

Once an order is **Completed**, **Closed**, **Canceled**, or **Voided**, its line staff can no longer be changed — **Line staff** no longer appears in the order's actions. The staff on each line is what the sale was rung up with, so a commission never moves to someone else after the fact. If you need to fix a mistake on a completed order, record it as an adjustment on the staff member's next payout instead.
