Recording a Payout
A payout takes every unpaid commission entry for a staff member in a period and turns it into one recorded statement — base pay (if any) plus commission, plus any additions, minus deductions, and then an automatic repayment of any cash advance they still owe.
The Record Payout screen: the staff member and period at the top, days worked, additions and deductions in the middle, and the pay summary with Net to pay and Review & record pinned at the bottom — screenshot coming soon
Record a payout
Open the staff member's Commissions tab
On their page, tap the Commissions tab, or open Reports → Staff Commissions and tap through to the staff member. You can also open More on the staff member's page and choose Record payout, which goes straight to the next step.
Start a payout
Tap Record payout and choose the period in the picker beside the staff
member's name — it defaults to the last completed pay period, based on the pay
schedule your store set (weekly, twice a month, or monthly). If the staff
member's last payout already covers the start of that period, the period
starts the day after the last day that payout covers, so only the unpaid days
are shown. Changing the period starts the form fresh from that period's
numbers. A period can end later than today, but not after the current pay
period ends.
Review the draft
Fuze Store fills in the days worked and base pay for you — days worked counts
the days the staff member had a staff session in the period (or made sales, if
there were no sessions), and base pay follows from their pay structure. You
can adjust either. The pay summary is pinned at the bottom of the screen
and updates as you type: Base pay, Commission, Gross, each addition and
deduction, the automatic Advance repayment (when the staff member owes an
advance), and Net to pay, with Advance balance remaining under it when
part of the advance is still owed. On a phone it starts collapsed to Net to
pay — tap the arrow to expand it. Tap Commission in the summary to see the
orders it came from.
Add lines, if needed
Add any additions (a bonus, a reimbursement) or deductions (a uniform
charge, a damage charge) as labeled line items — tap Add line, type a
label, and enter the amount (or tap the keypad icon). On a narrow phone, swipe
a line sideways to reach its remove button.
Review & record
Tap Review & record, check the statement, and confirm. That stamps every unpaid entry in the period as paid, records the advance repayment against the staff member's open cash advances, and records the net total. The app opens the new payout, laid out like a payslip, and it appears on the staff member's Payouts page. If the period has nothing to pay (no base pay, no commission, and no additions), the button stays off and says so. A payout of additions alone, such as an allowance, can be recorded.
If the period ends after today, the review shows a warning and Record payout stays off until you tick the box. The payout covers up to today: base pay is worked out up to today, and commission earned up to now is paid. The rest of the period goes into the next payout, which starts tomorrow. The payout's page shows the day it covers up to.
For example, you record a payout on the 3rd for the 1st–15th. It covers the 1st–3rd. The next payout for this staff member starts on the 4th and picks up what they earn from then on. Sales made later on the 3rd itself, after you recorded, are not in either payout, so record at the end of the day when you can.
Cash advances
Record a cash advance at any time from the staff member's Commissions tab. See Cash Advances. Don't add an advance as a deduction line. The payout repays it for you:
- Fuze Store works out what the staff member has coming: gross pay, plus additions, minus deductions.
- It takes a Advance repayment from that, up to the whole balance they owe, oldest advance first. An advance from before this period counts too.
- Net to pay is what's left. It can reach ₱0 but is never negative.
- Anything the payout couldn't cover shows as Advance balance remaining and is repaid automatically by the next payout.
For example, with ₱380.50 earned and a ₱500 cash advance, the statement shows Advance repayment −₱380.50, Net to pay ₱0.00, and Advance balance remaining ₱119.50.
Deleting a payout undoes its repayment, so the advance's balance goes back to what it was before. The delete confirmation shows the repayment amount.
Tap Statement (PDF) at the top of a payout's page to get that payout's statement as it was recorded: its commission entries, base pay, additions and deductions, each advance repayment with the balance left on that advance, net to pay, and who paid it and when.
Get written consent for advance repayments
Philippine labor rules (Labor Code, Article 113) restrict wage deductions.
Repaying a cash advance from pay is normally backed by the staff member's
written authorization, so have them sign one when they take the advance. This
is guidance only. Fuze Store doesn't record the authorization. See Cash
Advances.
If commissions or cash advances change mid-edit
If new sales are recognized for the staff member, or a cash advance is
recorded or deleted, while you're filling in a payout, Fuze Store detects the
change and asks you to review the refreshed numbers before submitting. A
payout can never silently miss commission earned, or an advance recorded, in
the meantime.
Why is my number different?
-
"A payout already covers part of this period." A staff member can't be paid twice for the same day. Pick a period that starts after the last day their last payout covers. If the last payout covered the 1st–16th, pay from the 17th. A payout recorded before its period ended covers only up to the day it was recorded: one recorded on the 3rd for the 1st–15th covers the 1st–3rd, so pay from the 4th.
-
The net total is lower than the commission earned. Check the Advance repayment line. An open cash advance is repaid from the payout automatically, even though you didn't add it as a line yourself.
-
Net to pay is ₱0. The staff member's advance balance is at least as large as their pay for the period. The whole amount went to the repayment, and the rest of the advance carries over as Advance balance remaining.
-
"Deductions are more than the gross pay plus additions." Your deduction lines add up to more than the staff member has coming, so the payout would be negative. Lower or remove a deduction. Fuze Store won't record a negative payout.
-
"A payout can't end after the current pay period." Pick an end date on or before the last day of the current pay period.
-
A sale from today isn't in this payout. Only unpaid entries as of the moment you submit are included; a sale recognized after that lands in the next payout.
-
Record payout isn't offered, and it says Paid by the organization. This person is one of your organization's people, visiting or with their home here. Their commission here is kept and paid by the organization's pay runs. Payouts you recorded before they joined stay in the list.
-
The draft's numbers changed while you were editing. Someone completed a sale for this staff member while the payout was open — review the refreshed totals and submit again.
