Pay Profiles

Add-on required. This feature requires the Organization Management add-on to be active on your store. View add-ons

A pay profile is a named set of pay terms, like "Washer" or "Senior washer", shared by everyone on it. Its terms are the same as a staff member's pay structure: the pay type, base pay and its unit, and a default commission rate. Leave the commission rate empty to use each branch's default rate.

Terms live in versions, each starting on a date. A raise is a new version from a later date. The old version stays, so past sales and pay periods keep the terms they had.

See who is on a profile

A profile's page ends with People on this profile. Its header counts everyone on the profile today, and it lists the first five by name, each with their home branch underneath. Tap a name to open the person. When more people are on the profile, tap View all under the list: it opens People filtered to this profile, where you can search them or narrow them by home branch. Remove the Pay profile chip, or tap Clear All, to see everyone again. You can also pick a pay profile yourself under Filters on People.

Someone moving to this profile from a later date isn't counted until that day, and someone leaving it from a later date still is.

To find a profile, type its name in the search bar at the top of Pay profiles. To see only the profiles still offered, or only the switched-off ones, press Filters, pick the Status and press Apply; Clear All shows every profile again. Owners, Admins and Payroll can also switch profiles off or back on from the list, several at once (see Switch off or delete a profile).

Who can do what

Owners, Admins and Payroll add and change pay profiles and put people on them. Area managers can see the profiles and their terms. Everyone who can see a profile sees only the people on it whose home branch they can reach, in the count and in the list.

Add a pay profile

  1. Open your organization and tap Pay profiles.
  2. Tap New pay profile at the top of the screen.
  3. Name it, pick the day its terms start, and set the pay type, base pay and commission rate.
  4. Tap Save.

Organization → Pay profiles → New pay profile

Each profile name can be used once in your organization, ignoring capitals. If the name is taken, the message shows under Name: pick another name and save again. You can also make a profile for one person while adding them: choose New profile on the person's form.

Raise pay from a date

  1. Open the pay profile and tap Add a version.
  2. Pick the day the new terms start (today or later) and set the terms.
  3. Tap Save.
  • A sale is paid at the terms in effect on the day it was made, and keeps that rate.
  • Base pay for a pay period uses the terms in effect on the period's last day.
  • A version that has started is locked: it can't be changed or deleted. Add a new version instead.
  • A version that hasn't started can be edited or deleted, except the first one, where the profile's terms begin. Its buttons sit on the right of the row: the pencil opens Edit version, where you change the start date or terms and tap Save; the trash icon asks you to confirm in a Delete version dialog before deleting it.
  • A profile has one version per start date.

Put someone on a different profile

  1. Open the person, go to the Pay tab and tap Change pay (it's also in the More menu at the top of their page).
  2. Pick the profile and the day it starts (today or later).
  3. Tap Save.

Until that day they stay on their current profile. Only a switched-on profile with terms on that day can be picked.

Switch off or delete a profile

Switch a profile off to stop offering it for new people. People already on it stay on it until you change their pay. A profile nobody was ever on can be deleted: tap Delete on its page and confirm in the Delete pay profile dialog. Once anyone has been on it, switch it off instead.

To switch profiles off or back on from Pay profiles:

  1. Tick the box beside each profile, or the box at the top of the list to pick every profile shown. On a phone, tick the box on each card.
  2. Tap Action, then Switch off or Switch on.
  3. Confirm. The list shows the new status.

Profiles already in that state are left as they are. Clear all unticks a partial pick. The boxes and Action show only for Owners, Admins and Payroll. You can also switch one profile from its page with the Offered for new pay changes switch.

Which day is today?

If your branches are in different time zones, "today" for pay terms is the latest date that has begun at any of your branches. Terms dated today have started.

Why is my number different?

  • I raised the rate and last week's commission didn't change. That's expected: each sale keeps the rate it was first priced at.
  • A visiting person shows no base pay at the branch they're visiting. Base pay belongs to their home branch.
  • The commission uses the branch's rate, not the profile's. The profile's version has no commission rate, or the item has its own rate, or a rate was set on the line at the register. An item's rate and a register rate always win.
  • Sales from before someone joined use their old rate. Until their first pay profile starts, a staff record keeps the pay it had at its branch.
