Organization People

Add-on required. This feature requires the Organization Management add-on to be active on your store. View add-ons

When someone works at more than one of your branches, add them once as one of your organization's people. Each person has one home branch and a pay profile, and you send them to other branches for as long as you need them. Every branch they work at shows them in its staff list, register and schedules, so the branch works with them as usual. Their commission from every branch belongs to one person.

To find someone, type their name, email or employee number in the search bar at the top of People. To see only the people of one home branch, or only the people on one pay profile today, press Filters, pick the Home branch or the Pay profile and press Apply. On a tablet or computer each filter shows as a chip beside Filters: tap its × to remove it. Clear All shows everyone again. View all on a pay profile's page opens this list already filtered to that profile.

A person's page

Tap a person's name, card or View details to open their page. It works the same on a phone, a tablet and a computer.

The bar at the top shows their name and email, whether they're active, their home branch and the pay profile they're on today, with Edit and a More menu. The More menu holds Send to branch, Move home, Change pay and, last, Remove. You only see the actions your role allows. Below the bar are three tabs:

  • Overview: their email, phone, employee number and whether they have a Fuze Store account; their home branch today (and their next home if a move is planned) and every branch they work at today; and the pay profile they're on today. Tap the pay profile to open it. If you prepare or pay pay runs, a Payout account card shows where you send their pay (see Payout account). If you can remove people, a Remove person card sits at the end.
  • Where they work: every assignment, upcoming visits first, then today's, then past ones, with Send to branch and Move home above them.
  • Pay: their pay profile history, newest first, with Change pay.

The page remembers the open tab, so refreshing the page or sharing its link opens the same tab. Scrolling down shrinks the top bar to their name and the two buttons.

Someone limited to chosen branches sees only people whose home is one of those branches. Anyone else is shown as not found. See Organization Roles and Branch Access.

Add a person

Do this in the Fuze Store app.

  1. Open your organization and tap People.
  2. Tap Add person at the top of the screen.
  3. Fill in their name, and their email if they sign in to Fuze Store. Add a phone number (pick the country code, then type the number) and an employee number if you use them.
  4. Pick their home branch and the day they start there (today or later).
  5. Pick a pay profile, or choose New profile to set pay just for this person. See Pay Profiles.
  6. If you prepare or pay pay runs, you can fill in their Payout account. It's optional. See Payout account.
  7. Tap Save.

They appear in the home branch's staff list with no branch role, and they're switched on there from their first day. The branch's managers set their role, PIN and badge. Someone who signs in gets the branch's usual invitation email.

Their home branch uses a staff place

A person counts once against your plan's staff limit, at their home branch.
Visits to other branches never use a staff place. If the home branch is full,
you're told before anything is saved.

If the home branch already has a staff record with the same email or Fuze Store account, that record becomes theirs. Nothing is duplicated. If the branch has two such records, join them first with Join duplicates (in the ⋯ menu at the top of People).

Email and employee number must be different for each person in your organization.

Promote someone who is already on a branch's staff

  1. On People, open the ⋯ menu at the top of the screen and tap Promote from a branch.
  2. Pick the staff member. You see the branch and their current pay.
  3. Keep Make a profile from their current pay, or pick an existing pay profile.
  4. Tap Promote.

Their home becomes the branch they work at, from today. They keep their role there, and they don't take a second staff place.

If the same person also has a staff record at another branch, use Join duplicates instead.

Join duplicates

If the same person was added separately at two or more branches, open the ⋯ menu at the top of People and tap Join duplicates. Records with the same Fuze Store account, or the same email, at more than one branch you can reach are grouped. Store owners are left out.

Each group is a card with one row per branch record.

  1. Pick the row of the branch that is their Home. The first row is picked to start.
  2. On each other row, turn on Keep working at this branch and pick the date they keep working there until, or leave it off. A row you leave off reads Switched off at this branch: they no longer appear in that branch's staff list or register, and their past sales stay.
  3. Read the note above the button. It says which branch becomes their home and what happens to the other records.
  4. Tap Join into one person and confirm.

They get a pay profile made from the home record's pay, unless you pick an existing one.

Send someone to another branch

  1. Open the person, go to Where they work and tap Send to branch (or pick it from More). It opens as its own screen on a phone and as a dialog on a large screen.
  2. Pick the branch. Their home branch isn't offered.
  3. Optionally pick their role there. You can only pick a role if you can set roles at that branch; otherwise the branch's managers set it.
  4. Pick the first day and the last day, and add a note if you like.
  5. Read the note at the bottom: it says where they'll appear from the first day.
  6. Tap Send.

Send to branch

If they already work at that branch on some of those dates, the form says This person already works at that branch on some of those dates. Pick other dates, or change the visit that's already there.

From the first day, they appear at that branch with a chip such as Visiting from North until Oct 9 in the staff list, the register's staff pickers and the schedule. After the last day their record there switches off by itself. Each branch uses its own time zone for this.

  • A visit can't start before today at that branch, and it always has a last day. To move someone for good, use Move home.
  • A person can't have two assignments at one branch on the same day.
  • To end a visit early, tap End early on it in Where they work, pick their last day there in End this visit, and tap End early. The earliest last day is yesterday, and End early stays off until you pick a day other than the one the visit already ends on. After that day they're switched off at that branch.
  • A visit of one day shows that one date, and has no End early: there is no earlier day to pick. Cancel it instead while it hasn't started.
  • To drop a visit that hasn't started, tap Cancel visit and confirm.

Move someone's home branch

  1. Open the person, go to Where they work and tap Move home (or pick it from More).
  2. Pick the new home branch and the first day there. Optionally pick their role at the new home.
  3. Read the note above the buttons. It spells out the move, for example: from that day the new branch is their home, their current home ends the day before, and they use a staff place there.
  4. Tap Move home.

Move home

Their old home ends the day before. The new home uses a staff place, so it must have room. If they have a visit booked at the new home on those dates, the move is refused and says This person is visiting that branch on some of those dates. End that visit first, or pick a later date. Their base pay follows their home.

A move on a later day

A move dated later doesn't change anything before that day. Until then their old branch is still their home: their page shows it as Home branch, with Home on it in Where they work, and the new branch shows as their Next home, marked Home and Upcoming. Their staff place, their base pay and where they're switched on stay at the old home until the move day, then switch to the new one. A home has no End early: to change a planned move, move home again. A new move dated on or before the planned day replaces it; one dated later follows it. Removing the person ends their home that day and drops the planned move.

Payout account

A pay run records that someone was paid. It never sends money: you pay from your own bank or e-wallet, or in cash, and then mark the person paid. The Payout account keeps where you send each person's pay, so you don't have to keep it somewhere else.

It has four fields, all optional:

FieldWhat to put
How they are paidCash, Bank transfer, E-wallet or Other
Bank or e-walletThe name of the bank or e-wallet
Account nameThe name on the account
Account numberThe account or mobile number you send their pay to

To add or change it, open the person, tap Edit, fill in the Payout account section and tap Save. To clear a field, empty it and save.

Only people who prepare or pay pay runs see it

The payout account is shown only to roles that can prepare pay runs or mark
people paid: Owner, Admin and Payroll, and any custom role with
one of those permissions. Everyone else, such as an Area manager or
someone who can only edit people, never sees the section, the card on
Overview or the spreadsheet columns, and can't change or clear it. The
person's branches and the person themselves don't see it either. The account
number is stored encrypted, and the activity log records only that the payout
account changed, never the account itself.

The payout account is printed on the pay run spreadsheet for the same people. See Organization Pay Runs.

Edit or remove a person

Tap Edit at the top of their page to change their name, email, phone, employee number or whether they sign in, and, if you prepare or pay pay runs, their payout account. The change reaches every branch at once. If they stop signing in, or you change the email of someone who signs in, their Fuze Store account is disconnected at every branch. Someone who still signs in gets a new invitation from their home branch. Switching them off switches them off at every branch.

Remove (last in More, or the Remove person card at the end of Overview) asks you to confirm, then takes them out of the organization and every branch. You can't remove someone who still has a visit today or later, or who has commission that no payout or approved pay run has covered yet. Their past sales, commission and payouts keep their name.

What branches see

At a branch, a person's staff page says Managed by your organization and names their home branch.

  • The branch sets their role, PIN and badge as usual.
  • Their name, email, status and pay are set here, on People. At the branch those fields and the Active switch are locked, and they can't be removed there.
  • A person earns commission at every branch they work at, as usual. No branch records a payout for them, not even their home branch: their payouts say Paid by the organization, and your pay runs pay them. A visiting person gets no base pay at the branch they visit.
  • Orders a visitor was on can still be edited after their visit ends.
